The Challenge:

Primary Responsibilities and Essential Functions

  1. Record and verify costing and coding of accounts payable
  2. Reconcile payables: 3-way matching, entry and reconciliation of accounts
  3. Enter payables into M2M (ERP system)
  4. Maintain and balance invoices and expense reports to be paid and ensure invoices have proper back-up, coding and approval
  5. Maintain accounting department files
  6. Create sales invoices from shippers in M2M for shipments, service calls and contract welding services
  7. Maintain, balance and reconcile receivables
  8. Maintain information records in computer for E.S.O., job labor, job material, spare parts and material inventories.
  9. Print checks and run reports
  10. Manage vendor information for accuracy including W-9 forms and prepare 1099 forms and filings
  11. Maintain passwords and administrative access to customer portals and other accounting application systems
  12. Manage accounts receivable invoices: collections and reconciliation of accounts
  13. Verify and close completed job orders and sales orders
  14. Prepare and balance monthly closing worksheets, generates month close reports
  15. Research and resolve invoicing discrepancies and issues
  16. Produce monthly reports, assist with month end closing and audit requests
  17. Maintain passwords for accounting application system
  18. Serve as back-up to daily labor and hourly payroll
  19. Serve as back-up to receptionists including telephone relief, maintaining files and mailings
  20. Advise and recommend future technical and/or operational direction and process improvements as related to this function.

Required Skills and Competencies

  1. Knowledge of standard filing practices
  2. Experience in Made2Manage or the ability to learn an ERP system
  3. Computer literate, including Microsoft Office Excel, Outlook and Word
  4. Proficiency in communication and problem-solving skills
  5. Accurate and efficient data entry skills
  6. Efficient and effective time management skills
  7. Impeccable attendance record
  8. Ability to read and interpret vendor invoices and receivers
  9. Knowledge of Fixed Asset Accounting
  10. Experience with Vendor Management
  11. Experience with general bookeeping and account reconciliations
  12. Must conduct oneself with the highest level of professional and ethical standards.
