Our company is growing! EDS is currently looking to hire a full-time, high visibility Executive Administrator / Project Coordinator to provide executive level support to the CEO, COO and other leadership positions. The selected candidate will have a huge opportunity to learn a lot of behind-the-scenes aspects of a growing hospitality business. This person will be trusted to take the reins on the communication and follow-through of many impactful design, construction, and hospitality projects. There will be a lot of interaction with various individuals from inside and outside of our organization so the right person must be able to communicate clearly and directly to ensure projects are completed within established timeframes.

Pay rate: $67,000.00 - $72,000.00 annually.

Qualifications:

  • Preferred: 3+ years of administrative experience in a professional setting, preferably as a polished Executive Assistant or similar
  • Preferred: Experience using Teams and Asana
  • Required: Must be able to travel about 20% of the time. Some travel will be via private plane or commercial.
  • Required: Must also have access to a vehicle to travel or conduct errands
  • Required: Must be proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint etc.)
  • Required: Must be incredibly organized with problem-solving abilities
  • Required: Must be clear and courageous when contributing ideas to executive meetings as well as taking the lead in implementing ideas when appropriate or when asked
  • Required: Must have superb communication skills to keep projects running smoothly while keeping appropriate parties informed

Job Description (this is just a sampling and not an exhaustive listing of all responsibilities):

  • Plans develops and coordinates assigned projects while maintaining necessary documentation and ensuring timely completion within budget constraints
  • Regularly attends project meetings, sets agendas and creates meeting minutes
  • Traces project tasks and deliverables to ensure they are completed in time
  • Supports executives through schedule management and identifying or applying resources effectively
  • Establishes collaborative interpersonal relationships with manager, coworkers and clients
  • Maintains project documentation and client communication
  • Coordinates with the accounting department to ensure client billing is accurate and timely
  • Manages the weekly executive meeting to keep projects on track
  • Conserves Executives’ time by reading , researching and routing correspondence and by drafting professional letters and documents
  • Manages calendars to include meeting planning, setting conference calls, coordinating travel arrangements, expense reports, presentations and detailed spreadsheets
