As Executive Assistant to the CEO, you will be the main point of contact for our tenants and for the CEO on a day-to-day basis, owning the process of providing an inspiring workspace for our tenants. You will be the primary liaison between tenants, contractors, our CEO, and other company staff, managing projects to keep our tenants and ownership happy, the buildings clean and safe, and the onsite environments thriving and vibrant. You make it all happen—and you make sure it’s great! 

The success of our properties depends upon a happy, trustworthy, professional, and technology-savvy individual with a wide range of skills and grace under pressure. We need someone with well-honed, highly professional communication and organizational skills and the energy required to willingly handle a variety of responsibilities and make sound operational decisions, someone who appreciates systems and structure but don't get overly bogged down in process and someone who is ready to act independently with a high degree of integrity and responsibility, acting on behalf of the business as if it was their own. 

We're looking for someone who brings the following specific skills and experience to the table:

  • Vendor negotiation and management

  • Read, modify and create contracts 

  • Efficient time management

  • Computer and tech savvy

  • Impeccable documentation and record-keeping 

  • Ability to learn quickly 

  • Epic discernment and decision-making

  • Comfortable working independently as well as part of a team

  • At least 2 years of high-level CEO executive assistant experience 

  • Some exposure to real estate business, project management, general contracting and/or property management

  • Familiarity with software tools such as Asana, Pipedrive, MS Office, Quickbooks

As Executive Assistant, your primary responsibilities will include: 

  • Owner of overall tenant happiness

  • First point of contact for tenants, responding to inbound tenant requests for service 

  • Manage services and subcontractors required to fulfill tenant service requests and keep our properties humming, including networking, electrical, plumbing, HVAC, locksmith, etc. 

  • Liaise with on-site building maintenance staff, and order and purchase materials and supplies

  • Liaise with on-site IT to manage internet connectivity and internal network configuration 

  • Manage tenant on- and off-boarding 

  • Support the CEO as executive assistant for travel, calendaring, and personal tasks

  • Process, document and file CEO’s work notes

  • Manage the CEO’s calendar 

  • Work from home (in SF or Marin), with the CEO (in Larkspur), and on-site at our properties in San Francisco and Marin as required

  • Lead the process of advertising to find new tenants as openings occur

  • Manage to “perfect data” using and updating our project management, CRM, internal documentation and other systems on an ongoing basis

  • Create & manage occasional on-site community events
