JOB TITLE: Administrative Support Specialist – Wellness Services

EAST CENTRAL COLLEGE has an anticipated opening for a full-time Administrative Support Specialist for Wellness Services. The Administrative support specialist is a highly organized, empathetic, and detail-oriented team member that serves as administrative support for the Wellness Services team. The role provides administrative and operational support to the team, by assisting them in all confidential operations of all wellness-related programs and services.
MINIMUM QUALIFICATIONS: (A comparable amount of training, education or experience may be substituted for the minimum qualifications.)
- Completion of an Associate Degree in Office Administration, Business, Psychology, Social Work, or related field.
- Minimum of two (2) years of proven administrative experience, preferably in healthcare, educational, or counseling, or similar environment handling sensitive information.
ESSENTIAL TASKS:(Employee must be able to perform the following essential functions to the satisfaction of the employee’s supervisor.)
- Serve as the primary point of contact for the Wellness Services office, greeting students and visitors, assessing immediate needs, and directing them to the appropriate team member or resource.
- Assist in managing the calendars, appointments, and meeting logistics for the Wellness Services team, including scheduling student appointments and coordinating inter-departmental meetings.
- Manage communication platforms for the team, including answering the main phone line and a general wellness email inbox, and facilitating timely responses.
- Maintain an organized and welcoming office environment, managing inventory and ordering of supplies, filing systems, equipment maintenance, processing incoming and outgoing mail, and general office upkeep.
- Perform general clerical work such as copying, duplicating, collating, and organizing materials.
- Handle sensitive and confidential student information (e.g., medical forms, counseling records, accommodation requests) with discretion and adherence to FERPA and HIPAA guidelines.
- Develop, organize, and maintain secure and accurate electronic and physical student files and databases for all wellness services (counseling, accessibility, navigator).
- Process and track necessary forms, referrals, and documentation related to student accommodations and services.
- Enter and retrieve data and information from computer systems and software applications (e.g., student information systems, booking software).
- Draft, proofread, and edit professional correspondence, reports, and marketing content (including print materials, social media, and intranet posts) for wellness programs and events.
- Assist in planning, promoting, and executing wellness workshops, events, and outreach activities (e.g., Wellness Fairs).
- Assist in preparing budgets, tracking departmental expenditures, and managing account records (e.g., processing invoices, purchase orders, and credit card paperwork).
- Perform assigned responsibilities, duties, and tasks according to established practices, procedures, techniques, and standards in a safe manner and with minimal supervision.

Salary range: $19.39 – $26.23 per hour. While the full salary range is provided for growth potential, most new hires are initially placed within the lower portion of the range based on experience and institutional compensation guidelines. Position is level 105.
