JOB PURPOSE
The Student & Academic Services Coordinator is responsible for daily operations for the Bing Overseas Studies Program in Cape Town by providing administrative and logistical coordination across academics, student services, housing and office operations. The role requires adaptability, including availability to assist with excursions and to work hours aligned with program requirements. This position reports to the Director
CORE DUTIES
STUDENT SERVICES AND PROGRAM SUPPORT | 60%
- Responsible for day-to-day academic operations, including course schedules, classroom logistics, enrolment records, and preparation of academic materials
- Coordinate academic calendars, meetings, excursions, and faculty logistics.
- Maintain academic records, course documentation, and shared resources in alignment with program procedures. Manage student access to learning platforms, project management tools, and shared digital resources
- Provide administrative support for visiting faculty and local lecturers as neede
- Provide administrative support for student services, including maintaining student records, and tracking deadlines.
- Manage logistics for site visits, field trips, presentations, and events
- Serve as a first point of contact for routine student questions and escalate issues as appropriate.
- Assist with preparation of reports, presentations, and program materials.
- Execute program orientations and safety briefings.
- Maintain housing inventories, room condition reports, and maintenance request logs.
- Oversee administrative office operations, including mail handling, data entry, reporting, and procurement of office supplies, ensuring efficiency and compliance with Stanford standards.
PROGRAM MARKETING | 20%
- Manage and maintain the program’s digital platforms, including webpages, databases, and shared resources, ensuring they align with program objectives.
- Develop and implement content strategies for social media to enhance recruitment and engage program participants, while monitoring trends and adjusting strategies as needed.
- Maintain relationships with student ambassadors to extend digital reach and foster engagement across platforms
- Create high-quality digital content in collaboration with students, staff, and faculty, including takeovers, visual media, and testimonials.
HOUSING AND CENTER MANAGEMENT | 20%
- Provide comprehensive oversight of student housing operations, ensuring residential facilities meet program standards for safety, functionality, and student wellbeing.
- Manage housing inventory, including furniture, appliances, and equipment.
- Oversee housing placement based on student needs and preferences.
- Coordinate housing orientation programming in conjunction with residence staff.
- Manage systems for logging and resolving housing maintenance issues in a timely manner.
- Coordinate the housing administration, including room rosters, move-in and move-out tracking, and housing communications.
- Establish and maintain strong relationships with residential facility management partners, including support for Faculty-in-Residence.
- Overseeing the cleaning, maintenance and security of the center: this entails ensuring that the physical facility remains in a good condition. It requires liaison with vendors and being the contact person for maintenance issues.
These duties may be adjusted as needed to suit the business and academic needs of the Stanford Overseas Studies Program.

EDUCATION AND EXPERIENCE
- Three-year University level degree and two years of relevant experience in administrative support and/or student services, or a combination of education and experience.
- Demonstrated working knowledge of social media platforms is required.
KNOWLEDGE, SKILLS, AND ABILITIES
- Strong English written and oral communication skills.
- Computer proficiency with skill in using Microsoft Word, PowerPoint, Excel, Google drive.
- Demonstrated ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines, working independently and collaboratively as appropriate with professional colleagues both within the Center and abroad in a team-oriented environment.
- Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness.
